A rental business that runs itself

From the booking to the review request — training, licence checks, insurance, key codes, mileage, GPS. One person still walks the vehicle. The rest runs on its own.

We built this for our own camper-van rental first. It’s the clearest example of what we mean: automate the back, leave the parts that need a person to a person.

What the customer never sees

They book on the site. The confirmation goes out. So does everything behind it.

They get trained before they arrive. A training page, videos, and a short quiz at the end. “Did they read the rules” and “do they understand the rules” are different questions. Only one of them protects the vehicle.

The system chases what’s missing. Licence verified. Insurance chosen. Add-ons right. Nobody sits down on a Tuesday to work out who still hasn’t sent a licence.

The keypad code arrives on time. Code and pickup directions, sent on schedule. Not the night before because someone remembered. Not at 11pm because someone forgot.

They take the trip. Checkout instructions go out at the end of it.

Then it reconciles. Mileage calculated. GPS log checked against the terms — it’s a road vehicle, and off-road use is the difference between wear and a repair bill. The final message goes out with whatever the trip actually earned.

Happy customers get asked for a review. Only the happy ones. That one rule is why the score looks the way it does.

The part that stays manual, on purpose

An operator walks every vehicle when it comes back and preps it for the next trip. That’s a person’s job. It should stay one.

The point was never to remove people. It was to stop the business depending on someone remembering fourteen things in order — and to hand the person who is on the ground a short list instead of a folder of procedures.

What changed

It replaced most of the manual customer support and took about $1,500 a month out of the operation. Customers got answered faster than we ever managed by hand.

We can make that argument because we paid for the build ourselves, before we ever sold one.

Something like this?

Thirty minutes on the phone. If we're not the right fit we'll say so.
